
Operations Manager
Work Hours: 30 hours/week with potential to grow to 40 hours
Work Location: Hybrid / remote-flexible with in-person meetings approx. twice/week in Boise
Pay Rate: $22/hour
Reports To: President / Executive Committee
About the Role
This role leads the day-to-day operations of IWCF, a collective giving organization whose members pool resources to make grants across the Treasure Valley. The Operations Manager ensures accurate membership data, efficient systems, and reliable communications that allow board members and volunteers to focus on mission. Responsibilities include owning the member CRM, overseeing membership fee and gift processing, supporting events and grant ballot logistics, maintaining process documentation, and serving as the organization’s primary technology administrator.
Key Responsibilities
Process & Protocol Ownership
- Implement, design, document, and improve workflows for events, renewals, communications, and annual ballots ( if something isn’t working, this role owns fixing it)
- Maintain a living Operations & Procedures Manual
- Balance automation with hands-on member service, knowing when a workflow handles it and when a human touch matters
Technology & Systems Stewardship
- Serve as primary administrator for NeonCRM: user access, data integrity, automation, forms, event setup, and custom reporting
- Administer IWCF’s Google Workspace (accounts, shared drives, permissions, security)
- Provide training and ongoing support to board members and volunteers; onboard new board members to IWCF systems
Financial Management & Event Operations
- Manage membership joins, renewals, and lapses, including payment processing and follow-up workflows
- Process gifts and donations; partner with finance on reconciliation and reporting
- Support event setup, RSVP tracking, ticket sales, and attendee communications in NeonCRM
- Serve as the initial contact for member inquiries about accounts, events, and payments
Communication Support
- Support consistent, brand-aware email communications, such as weekly email newsletter and renewal reminders
- Maintain email templates, forms, and reports so they remain current and on-brand
Office Administration
- Ensure incoming mail and email is collected, reviewed, and routed to the appropriate staff or committee lead
- Manage office supplies inventory and place orders as needed to keep operations running smoothly
- Maintain organized digital filing systems so records are easy to locate and up to date
Risk & Continuity Management
- Document all key processes in sufficient detail for continuity through transitions
- Maintain IWCF’s Google Drive in accordance with security and access guidelines
- Conduct periodic data audits to ensure membership records, donation history, and contacts are complete and accurate
The Ideal Candidate Will Have
- 3+ years of operations or office management experience, or equivalent (5 years preferred); nonprofit experience a plus
- Ability to design and improve processes that volunteers can execute independently
- Experience with CRM platforms (NeonCRM, Salesforce, or similar); proficiency in Google Workspace, including Sheets
- Strong written and verbal communication skills; member or donor communications experience a plus
- Self-directed, detail-oriented, and comfortable working with a volunteer-led board
- Diplomatic and relationship-oriented, skilled at navigating different perspectives and building alignment
- Bachelor’s degree or comparable experience in business administration, IT, communications, or related field preferred
